Finance and Accounting Operations

NetSuite work run by someone who has closed the books.

Most NetSuite consultants can build what you describe. Fewer can tell you that what you described will not survive an audit, that the entry should post somewhere else, or that the reconciliation you are asking to automate should not exist in the first place.

Our finance practice is led by a former CFO — eleven years signing the financial statements of a company running NetSuite, and administering it since 2008. That is a different starting point from a developer with an accounting requirements document.

What we do

Bank and payment operations Bank account reconciliation. Bill Capture, configured so it actually reduces AP keying rather than adding a review step. Electronic payments, including positive pay — the fraud control your bank or your auditor asks for and almost nobody can set up in NetSuite.

Multi-entity accounting Intercompany management and intercompany transfer automation. Migrations from QuickBooks into OneWorld — including the parts that get skipped, like beginning balances, opening inventory, and the fine-tuning nobody budgets for after go-live.

Reporting a board can read Financials customized to look like the statements you were actually asked for, rather than NetSuite’s defaults. Transaction distribution, so sales order lines post where they belong instead of being cleaned up with journal entries at month end. Profitability dashboards with trend history — and, importantly, that tie back to the general ledger rather than sitting beside it. If you have ever wondered why the GL Impact screen hides its most useful columns, we have written about that too.

Two flows compared. Out of the box, sales order lines post to one revenue account for everything, then month-end journal entries reallocate them by hand every period before the report is right. With transaction distribution, sales order lines fan out at entry to product revenue, freight recovery, service revenue and discounts given, and go straight to the report with no reallocation step.
line posts where it belongs at the moment it is entered — nothing to reallocate at month end.

Getting other systems into the ledger correctly Payroll. Marketplace settlements from Amazon, Walmart and Michaels. Point-of-sale and card processors. We build these as models your finance team can operate and inspect, not as black boxes — because the person who has to explain a variance needs to be able to see how the number was made.

Close support Month-end close packages that refresh live from NetSuite into Excel. Physical inventory count design — sequencing, variance handling, and reconciliation back to the ledger.

AI access to your financial data, done safely We deploy NetSuite’s AI and MCP connectors in client accounts, including the custom role design that decides what the assistant can and cannot see. That last part is the whole job: an AI connector only sees what the role you gave it sees, which makes role design a financial control rather than a technical setting. We can also tell you where these tools are genuinely useful — querying, close preparation, reporting — and where trusting them will cost you a restatement.

What that looked like

A day or two of work, every two weeks, reduced to under an hour.

“Prior to being able to import the payments, we had to manually enter the payments. This process took approximately 3 to 4 hours of uninterrupted time… Add another hour or so, and you have at least a day or two of time spent on this whole process. This whole process can be done in less than an hour!“

— Sherry Gallant, Bookkeeper, WesSpur Tree Equipment

Every transaction reconciled to the penny, weekly — after commercial products were ruled out.

“After searching for and receiving demos on multiple software solutions, we chose BatchIt. The other solutions we considered weren’t as familiar with the nuances of NetSuite, so we didn’t trust that they would work… We are able to reconcile every transaction to the penny weekly.“

— Kathy Murrer, Collecting Warehouse

A stalled implementation brought to a clean position. NetSuite Professional Services left the implementation unfinished. We completed beginning balances and initial inventory and reconciled the account.

Where we usually get called in

  • Payroll lands in the wrong accounts every period and someone fixes it by hand
  • The bank or the auditor has asked for positive pay and nobody can configure it
  • Marketplace settlements are reconciled manually, or not at all
  • Month-end takes longer than it should and nobody can say exactly why
  • An acquisition needs to come into OneWorld and there is no plan for beginning balances
  • The board wants a statement NetSuite does not produce
  • Someone wants to point an AI assistant at the accounting data and nobody is sure what it would be able to see
  • An implementation stalled and nobody can say what state the account is in

Common questions

Can you set up positive pay in NetSuite? Yes. It runs through Electronic Bank Payments, and the difficulty is usually the file format your specific bank expects rather than NetSuite itself. It is a small, well-bounded job — a good candidate for the free first hour.

We are on QuickBooks. Should we move to NetSuite? Sometimes. We move companies in both directions and we are not a NetSuite partner, so we have no reason to push you either way. If QuickBooks plus a couple of tools genuinely fits your business, we will tell you.

Is it safe to let an AI assistant read our financial data? It depends entirely on the role you give it, and that is a decision your controller should make rather than your IT team. A NetSuite MCP connector sees exactly what its role permits — no more, and no less — so the control you already understand is the control that applies. We design that role as part of the deployment, and we will say plainly which questions these tools answer reliably and which they do not.

Do you replace our accountant? No. We work alongside your controller or accounting team, and the engagements that go best are the ones where they stay closely involved — they know the business, we know what NetSuite will and will not do.

Is this a project or ongoing? Both happen. Some clients bring a single bounded problem; others use us as fractional NetSuite administration alongside their finance team. We will tell you which we think you need.

How to start

The first hour is free. Bring the single thing that is most broken — the reconciliation that eats a day, the entry nobody can explain, the close step everyone dreads — and we will spend an hour on it with you, in your account. You get written notes afterwards whether or not you hire us.

If it turns into more than an hour’s work, we will follow up with a recommendation and a quote.
